South Carolina Alliance for
Health, Physical Education, Recreation and Dance
Organization:
The South Carolina Alliance for Health, Physical Education, Recreation and Dance is a not-for-profit organization made up of nearly 1200 professionals and future professions in the above listed fields across South Carolina. With an annual budget of nearly $113,000, the purpose of the Alliance is to unite organizations engaged in and desirous of promoting dance, fitness, health, physical education, recreation, sport, athletics and wellness and any other professionally related field. The organization will provide a structure that allows members of diverse interests to pursue common goals through the Alliance and specific professional interest through their respective associations.
Scope of Work:
Organizational
Maintain Central Office (housed on the Columbia College Campus) for correspondence related to the Alliance business; maintain a phone, email and regular mail communications. Maintain and order office supplies.
Organize and maintain records for the Dance Education library housed in the Central Office.
Proficiency in Word Document, familiarity with Excel and Access and general Internet skills.
Provide staff support to the Alliance and Associations (database contacts, maintaining files, minutes etc.).
Prepare mailing lists
Prepare reports as requested from the Executive Director and Executive Committee.
Maintains all files both hard copy and electronic on behalf of the Alliance.
Work with the Executive Director, Executive Committee and Association Presidents to assist in the annual convention.
Work with the printer on Alliance newsletters, flyers, programs, etc.
Serves as the newsletter editor.
Work with the Executive Board to implement the details of the quarterly meetings.
Distribute minutes of all meetings in a timely manner.
Update listing of officers and committee members.
Update constitution as per the minutes.
Prepare the annual Executive Board notebooks.
Complete tasks assigned by the Executive Director or Board of Directors.
Membership
Process membership forms and maintains membership records along with databases. Coordinate membership renewals, issue membership cards, collect and deposit dues as necessary.
Produce printer ready and distribute newsletters and journals.
Produce printer ready convention flyers and programs.
Respond in a timely manner to requests for assistance from the Alliance membership and its partners.
Financial
Assist the leadership in preparing and maintaining an annual budget.
Utilize an effective record-keeping system to ensure all appropriate documentation, reports and correspondence are easily accessible and available to the Ex Dir, Finance Chair, bookkeeper and association Presidents.
Provide monthly (unofficial) financial reports and maintain a ledger.
Distribute budget requests to the proper association treasurer, alliance financial chair and the bookkeeper.
Deposit checks, sending information to the bookkeeper and financial chair.
Miscellaneous
Provide continuity in transition of leadership.
Attend all Executive Board meetings (Jan, March, May, Sept), taking minutes, which will later be distributed to the attendees.
Attend November Executive Board and Convention meeting, taking minutes, which will later be distributed to the attendees.
Attend the annual convention held at Myrtle Beach (Thurs-Sun, mid November). Oversee registration at the convention.
Personal Skills:
Good verbal and written communication skills
Can work with a variety of personnel
Works well with Executive Director
Completes all tasks in a timely manner
Addresses membership in a professional manner
Qualifying Parties:
Individual with a proven track record as an administrative assistant
Skilled in Microsoft word and the Internet
Willing to learn Access, Excel, Quicken or comparable budget program and Publisher
Special consideration provided those with previous health, physical education, recreation or dance administrative assistant positions.
Contract Period:
Successful party will be contracted for a year, starting June 2008 and concluding June 30, 2009. Positive annual reviews will allow for continuance at the position.
Position will be contracted for approximately 24 hours per week. The workweek will be Monday through Thursday. Flex time will be negotiated.
Salary and Benefits:
$360 per week for 24 hours ($15 per hour) which equals $1440 per month (flexibility in some months and weeks will be permitted)
Candidate may choose a 4 or 5 day work week to complete 24 hours
Paid holidays (Martin Luther King, Presidents Day, Good Friday, Memorial Day, July 4th, Labor Day, personal birthday, Friday after Thanksgiving, Dec 24-Jan 1) should the day fall on a normal scheduled workday.
No insurance benefits
FICA will be paid by the Alliance.
Travel, hotel allowance, and extra hours benefits $1350 (travel to Myrtle Beach, rooms, food, board meetings)
